Reception & Member Experience Coordinator

Full-Time  ·  Mon–Fri, 7:30am–2:30pm  ·  Uptown Waterloo

Location: Den 1880, 14 Erb St. West, Uptown Waterloo, ON

Position Type: Full-Time, In Person

Schedule: Monday–Friday, 7:30am–2:30pm

About Den 1880

Den 1880 is a boutique coworking, private office, event, and wellness space in the heart of Uptown Waterloo.

Our community includes entrepreneurs, growing companies, remote professionals, and local organizations who use Den to work, meet, host events, record podcasts, connect with others, and be part of a professional community.

We care deeply about how our space functions, feels and looks each day. We value great hospitality, thoughtful details, strong relationships, and people who take ownership of their work.

We’re looking for a Reception & Member Experience Coordinator to become the primary daytime presence at Den.

This isn’t a role where you’ll sit behind a desk waiting for the phone to ring.

You’ll get to know our members, welcome guests, answer questions, help solve problems, onboard new members, troubleshoot technology, prepare meeting spaces, support podcast recordings, and jump in on projects across Den. No two days are exactly the same.

Your Role

Reception & Member Experience

You’ll be the first person many members and guests see when they arrive at Den and an important part of making the building feel welcoming, professional, and easy to navigate.

You’ll:

  • Welcome members, guests, prospective members, and visitors
  • Notify members and hosts when their guests arrive and make visitors comfortable while they wait
  • Respond to general inquiries about memberships, meeting rooms, amenities, and services; answer incoming calls, take messages, schedule tours, and connect callers or visitors with the appropriate team member
  • Complete member onboarding and help new members get comfortable using the space
  • Assist with meeting room reservations, day passes, guest registration, and basic account questions
  • Help members troubleshoot everyday issues as they come up
  • Manage incoming mail, deliveries, and packages
  • Build genuine relationships with our members and become someone they know they can come to for help
  • Help create a consistently positive member and guest experience that supports Den’s reputation, community relationships, and reviews

Technology & Podcast Support

You don’t need to be an IT expert, but you should be comfortable with technology and willing to learn.

You’ll help with things like:

  • Wi-Fi and connectivity questions
  • Meeting room screens and presentation technology
  • Mobile building access
  • Basic member account and booking issues
  • Helping guests get set up for podcast recordings in our studio
  • Troubleshooting small technology issues before escalating them when necessary

We’re looking for someone who stays calm when technology doesn’t cooperate and is willing to figure things out.

Day-to-Day Operations & Building Care

A significant part of this role is helping maintain the physical standard of Den throughout the day.

You’ll help:

  • Open and prepare the building each morning, including lighting, music, and shared spaces
  • Maintain coffee and beverage stations throughout the day
  • Unload dishwashers, reset kitchens, and manage laundry of dish towels
  • Stock, tidy, and clean the Market Hall and shared supplies
  • Check restrooms throughout the day and replenish supplies as needed
  • Water plants and help maintain the overall presentation of the building
  • Set up and reset meeting rooms between bookings
  • Coordinate catering deliveries and meeting room food and beverage service
  • Monitor our parking lots and issue parking notices when required
  • Complete regular walkthroughs of the building, noticing and addressing anything that needs attention
  • Help ensure reception, kitchens, meeting rooms, and common spaces remain clean, organized, stocked, and welcoming throughout the day

This is a hands-on role. You should be comfortable pitching in wherever needed, including light cleaning and physical tasks such as carrying boxes, moving chairs, setting rooms, and occasionally rearranging furniture.

Events, Community & Team Projects

Depending on what’s happening that week, you may also help:

  • Prepare spaces for corporate meetings and events
  • Assist with vendor arrivals and daytime event preparation
  • Set up member socials and community events
  • Support our events and hospitality teams with room transitions and setup
  • Capture or help coordinate occasional social media content
  • Support special projects with our management team
  • Test new systems, processes, or member offerings
  • Help improve how we do things as Den continues to grow

This is a good fit for someone who likes having a core set of responsibilities but also enjoys contributing to larger projects and seeing their work have an impact.

Who We’re Looking For

The right person for this role is warm, outgoing, capable, and self-directed. You genuinely enjoy talking to people and are comfortable interacting with everyone from a first-time visitor to a CEO, vendor, event guest, or long-time member. You’re also someone who doesn’t need to be constantly given a task.

If the front desk is quiet, you naturally look around and think, What could I take care of? What needs organizing? Who could use some help?

You are someone who:

  • Is friendly, confident, and comfortable meeting new people
  • Has excellent customer service instincts
  • Communicates clearly and professionally
  • Is dependable and follows through
  • Works well independently and takes initiative
  • Looks for ways to be useful rather than waiting to be told what to do
  • Notices details and takes pride in keeping a space clean, organized, and well presented
  • Can manage several small priorities without becoming overwhelmed
  • Is comfortable learning new technology and systems
  • Enjoys collaborating with others while also being able to work independently
  • Likes the idea of contributing to larger projects rather than having a narrowly defined job
  • Is comfortable speaking up, asking questions, and solving problems

Previous experience in hospitality, customer service, hotels, restaurants, retail, reception, coworking, or another people-focused environment would be an asset, but we’re equally interested in finding the right personality, work ethic, and attitude.

Why Work at Den?

You’ll be joining a growing local business where your contribution is visible and your ideas matter.

Benefits include:

  • Consistent weekday daytime schedule
  • Complimentary Den 1880 coworking membership
  • Complimentary Performance Club gym membership
  • Access to our premium wellness amenities
  • On-site parking
  • Paid time off
  • Member and community events
  • Opportunities to grow your role and take ownership of new projects as Den continues to expand
  • A unique work environment in the heart of Uptown Waterloo

Most importantly, you’ll have the opportunity to become an important part of our community and the day-to-day experience of the people who use Den.

If you’re someone who likes people, takes initiative, enjoys variety, and gets satisfaction from making things run well, we’d love to hear from you.

From weekday coworking and networking events to weddings, private celebrations, and corporate functions, no two days are ever the same.

As we continue to grow our events business and expand our hospitality offerings, we’re looking for someone who wants to help shape the future of Den 1880’s bar program and overall hospitality experience.

Position Overview

The Bar & Hospitality Program Manager plays a key role in bringing Den 1880’s hospitality experience to life. This position combines event leadership, bar operations, staff development, and program development, with the opportunity to build and continuously improve the systems that support an exceptional guest experience.

This is an opportunity to take ownership of a growing hospitality program and help shape how Den 1880’s events and evening experiences continue to evolve.

You’ll lead the execution of our events, coach and support the event team, oversee our bar program, and help develop Den 1880’s food and beverage offerings, from an evening menu of shareable bites to our tuck shop and daily pastry selection.

This is an ideal role for someone who enjoys both the fast-paced energy of event nights and the creativity of building something that continues to evolve.

Key Responsibilities

Event Leadership & Hospitality

  • Lead the hospitality and bar operations during events, ensuring everything runs smoothly from setup through teardown.
  • Coordinate event staff by leading pre-event meetings, assigning responsibilities, providing coaching throughout events, and supporting the team wherever needed.
  • Serve as an onsite contact for hospitality-related questions from guests, vendors, and event staff, resolving issues professionally and confidently.
  • Execute events according to floor plans, timelines, and Den 1880’s hospitality standards.
  • Support the Director of Hospitality by taking ownership of hospitality operations during event execution.

  • Look for opportunities to improve workflows, service, and the overall guest experience.

Menu Development & Hospitality Retail

  • Develop and maintain Den 1880’s food and beverage menus, including evening bites, charcuterie boards, seasonal features, and other hospitality offerings.
  • Oversee Den 1880’s hospitality retail offerings, including the tuck shop, pastries, grab-and-go items, and non-alcoholic beverages.
  • Manage sourcing, pricing, inventory, merchandising, and presentation to ensure offerings remain well stocked, profitable, and aligned with the Den 1880 brand.
  • Continuously evaluate and refine menu and retail offerings based on member feedback, event needs, and seasonal opportunities.

Evening Programming & Member Experience

  • Help bring evening programming to life, including networking events, sporting events, live music, social gatherings, and member experiences.
  • Support event setup, guest experience, and hospitality throughout these programs while working closely with the Director of Hospitality and leadership team.
  • Share ideas and feedback that help shape future programming and continue building a vibrant evening community.

Client & Member Support

  • Answer general questions from prospective event clients regarding venue setup, event logistics, and hospitality services.
  • Provide venue tours when the Director of Hospitality is unavailable.
  • Gather information from inquiries and ensure qualified leads are passed along for follow-up.
  • Welcome members and guests during evening hours, answering phones, responding to questions, assisting with meeting room inquiries, and providing a knowledgeable, welcoming point of contact throughout the building.

Inventory, Compliance & Administration

  • Maintain inventory of alcohol, beverages, glassware, hospitality retail products, and event supplies, coordinating ordering and pickups as needed.
  • Manage cash floats, point-of-sale accuracy, and end-of-event reconciliation.
  • Ensure compliance with AGCO regulations, Smart Serve requirements, and Den 1880 policies while maintaining responsible alcohol service at all times.
  • Complete post-event reporting, inventory counts, and venue resets to prepare for upcoming events.

Qualifications

  • Valid Smart Serve Certification (required).
  • Minimum 3 years experience in hospitality, bartending, food and beverage, or event management.
  • Leadership or supervisory experience is considered an asset.
  • Strong written and verbal communication skills.
  • Excellent interpersonal and leadership skills, with the ability to confidently lead a team and create exceptional guest experiences.
  • Excellent organizational skills with experience managing multiple priorities.
  • Experience with POS systems, cash handling, inventory management, merchandising, or ordering is considered an asset.
  • Ability to lift and move event equipment, furniture, and beverage inventory.
  • Reliable transportation to and from work.

What We’re Looking For

We’re looking for someone who genuinely enjoys creating memorable experiences and wants to play a meaningful role in shaping Den 1880’s hospitality program.

You’re someone who notices opportunities for improvement, takes initiative without being asked, and enjoys leading by example. You thrive in fast-paced environments, stay calm under pressure, and take pride in delivering exceptional service while helping others do the same.

Most importantly, you’re excited by the opportunity to build something, not simply maintain what’s already there. Whether it’s refining a cocktail menu, curating retail offerings, mentoring staff, or helping create new member experiences, you’re motivated by seeing your ideas come to life.

Why Join Den 1880?

  • Complimentary coworking and gym membership.
  • The opportunity to build and shape Den 1880’s bar and hospitality program from the ground up.
  • Creative ownership over our evolving menus and hospitality retail offerings.
  • Professional growth as our events, hospitality, and membership experiences continue to expand.
  • Work in one of Waterloo Region’s most unique hospitality and event venues alongside a collaborative, supportive team.
